Oversee all activities of the Guild, the Board and the various committees

  • Prepare for and preside at the monthly Board and Guild meetings
  • Appoint Standing Committee Chairs: Library, Charitable Activities, Special Events, Hospitality, and Assistant to the President
  • Submit a monthly Letter from the President for distribution to members
  • With VP Communications, monitor the contents of the guild website
  • Help trouble-shoot as needed the various operations of the Guild
  • Organize and participate in the Nominating Committee
  • With the Treasurer and an appointed committee, establish an annual budget
  • Set up the guild calendar for coming year
  • Maintain items and documentation critical to the guild’s functioning

Gather and distribute member related information

  • Process membership applications and update associated data, some computer expertise required
  • Organize membership sign-in, what’s happening and new member tables at meetings
  • Compile, have printed and distribute a yearly membership booklet with names and addresses of current members
  • Organize a Membership Showcase for several guild meetings

Set up speakers and workshops for the monthly meetings and the quilt show

  • Book speakers (seven, with five workshops) covering a range of quilting topics for the subsequent year (the current year is usually set since speakers generally need to be booked a year or more in advance)
  • With VP Quilt Show, book speaker(s) for the Quilt Show
  • Make arrangements for speakers for hotels, meals, and local transportation (speakers usually make their own travel arrangements)
  • Find assistants as needed for speakers at lectures and workshops

Supervise Guild educational activities

  • Organize Show&Tell at each meeting
  • Collect updates from Special Interest Groups (SIGs) – these groups meet independently and have their own coordinators

Keep the official records for the Guild

  • Record the minutes at Board meetings, collect any revisions from Board members, distribute a final copy, and maintain a file copy
  • Track policy revisions as proposed by the Board and record when approved and maintain files of the amended versions of the Bylaws
  • Maintain year end financial statements submitted by the Treasurer
  • Handle general correspondence as requested (“sunshine” cards, business letters, thank you notes, invitations…)
  • Notify members of the Annual meeting, election of Guild officers and voting on any Bylaw amendments
  • With input from the Board, organize an end-of-year gift for the President from Guild members and a separate gift from the Board

Collect and disperse funds and keep all financial records

  • Understand QuickBooks, used to track Guild finances
  • Manage income and expense transactions, writing checks,  making bank deposits in a timely fashion, and recording in QuickBooks
  • Provide monthly I&E reports to the Board and specific reports as needed to committee heads
  • Handle QuickBooks monthly bank reconciliation and backup
  • Handle Quilt Show monetary needs – preparing any cash boxes, collecting, counting, and depositing the money accumulated
  • With the President and an appointed committee, establish an annual budget
  • Work with the Guild’s CPA to complete filing of any legal forms

  • Set up a committee to create and run the quilt show
  • Oversee all aspects leading up to and during the show – in all areas, the final decision is that of the VP Quilt Show.
  • Interact with venue management regarding dates, contracts, and any other show needs
  • Hold meetings with the show committee to keep updated and keep things moving along
