Oversee all activities of the Guild, the Board and the various committees

  • Prepare for and preside at the monthly Board and Guild meetings

  • Submit a monthly Letter from the President for distribution to members
  • With VP Communications, monitor the contents of the guild website
  • Help trouble-shoot as needed the various operations of the Guild
  • Set up and participate in the Nominating Committee
  • With the Treasurer and an appointed committee, establish an annual budget and issue a yearly financial report to members
  • Decide the calendar for coming year and get approvals

Gather and distribute member related information

  • Process membership applications and update associated data, some computer expertise required
  • Organize membership sign-in, what’s happening and new member tables at meetings
  • Compile, have printed and distribute a yearly membership booklet with names and addresses of current members

Set up speakers and workshops for the monthly meetings and the quilt show

  • Research and book speakers and workshops covering a range of quilting topics for the subsequent year (the current year is usually set since speakers generally need to be booked a year or more in advance)
  • With VP Quilt Show, book speaker(s) for the Quilt Show
  • Arrange hotels, meals, and local transportation for speakers (speakers usually make their own travel arrangements)
  • Appoint assistants as needed to help at lectures and workshops
  • Attend monthly Board meetings
  • Generate email and website updates for member distribution monthly and as needed about current activities

Keep the official records for the Guild

  • Record the minutes at Board meetings, collect any revisions from Board members, distribute a final copy, and maintain a file copy
  • Track policy revisions as proposed by the Board and record when approved and maintain files of the amended versions of the Bylaws
  • Maintain year end financial statements submitted by the Treasurer
  • Handle general correspondence as requested (“sunshine” cards, business letters, thank you notes, invitations…)
  • Notify members of the Annual meeting, election of Guild officers and voting on any Bylaw amendments
  • With input from the Board, organize an end-of-year gift for the President from Guild members
  • Maintain job documentation for successor

Collect and disperse funds and keep all financial records

  • Work with QuickBooks, used to track Guild finances
  • Manage income and expense transactions, writing checks, making bank deposits in a timely fashion, and recording in QuickBooks
  • Provide monthly I&E reports to the Board and specific reports as needed to committee heads
  • Handle QuickBooks monthly bank reconciliation and backup
  • Handle Quilt Show monetary needs – preparing any cash boxes, collecting, counting, and depositing the money accumulated
  • With the President and an appointed committee, establish an annual budget and issue a yearly financial report to members
  • Work with the Guild’s CPA to complete filing of any legal and tax forms
