Before the Show
SATURDAY before the Show
~ Quilt Drop-Off ~ 1-4pm: Examine quilts to make sure they are properly prepared for the show (clean, no odor, sleeve and number attached, etc.), check in quilts and hand out Quilt Claim Cards. Some sitting, some carrying. Location info. ~ Quilt Handling ~ 3-5pm: Organizing and packing the quilts, loading and unloading quilts, storing and transporting quilts between dropoff day, judging day, and quilt hanging day.
TUESDAY before the Show
~ Judging Day: Assist by holding up quilts, transcribing the comments made by professional judges, and then folding and packing up quilts. A chance to see the quilts first, up close and personal! Some sitting, some carrying. Location info. ~ Quilt Handling: Unloading and loading quilts, organizing and packing the quilts, storing and transporting quilts between dropoff day, judging day, and quilt hanging day.
FRIDAY before the show ~ Help from husbands, sons, daughters, and friends is very welcome!
~ Quilt Handling: Transporting and unloading the quilts to the show early on to be ready for Quilt Hanging. ~ Drape Hanging: Frames are set up by WCSU. We need to hang our muslin drapes on the pipes. Work involves lifting drapes and climbing ladders. ~ Quilt Hanging: An approximately three-hour job, holding and carrying sometimes heavy quilts and supervising WCSU students who will be climbing the ladders. ~ Vendor Assistants: Vendors arrive. We need 2 people to “direct” them to their area and keep the flow organized and activity safe. ~ Library Assistants: Setting up tables, sorting of books, magazines, patterns.
At the Show
Admissions: Assist at ticket booth and handing out Quilt Show Booklets. Direct guests to quilts, vendors, bathrooms. Mostly a sit down job. First impressions are the most lasting….
Welcome Buses: Meet buses and provide them with show tickets, info, and gift bags. Again, first impressions are the most lasting….
Information Desk: Provide information on show activities and answer questions from guests. Make announcements over the PA system. Take in and return items at the package drop-off and pick-up table. Mostly a sit down job.
Raffle and Show Pin Sales: Help sell charity quilt raffle tickets. Collect money for the tickets and answer questions about the charity. Also help sell our unique Show Pin. Sit down job.
Silent Auction: Assist at table as guests bid on Silent Auction quilts. Sit down job except for the final shift when quilts are taken down and distributed.
Library and Comfort Quilts Assistants: Assist with books and magazines sales (standing,sorting) at the Library tables and with quilt kits sales at the Comfort Quilt tables (sitting).
Lecture Assistant: Two volunteers are needed for each guest lecturer to hold up quilts, pass around quilts or help sell books before/after the lecture. Standing and walking job.
After the Show
SUNDAY end of show ~ Help from husbands, sons, daughters, and friends is very welcome!
~ Quilt Take-down: Remove quilts in an orderly manner, fold and sort on tables. Work involves carrying sometimes heavy quilts and climbing ladders. ~ Quilt Return: Help return quilts to their owners, match quilt claim cards with quilts and hand out judges’ comments. Standing/sitting/walking job. ~ Drape Take-down: Remove muslin drapes from the pipe frames and fold for storage. Work involves lifting drapes and climbing ladders. ~ Pipe Take-down: Remove pipes from frames along with any hangers and sort for storage. Work involves carrying long metal pipes and climbing ladders. ~ Final cleanup: Help collect and put away any remaining guild equipment. Carrying/walking job, last to leave.
